What personal information do we process?

When you visit, use, or navigate our Services, we may process personal information depending on how you interact with us and the Services, the choices you make, and the products and features you use.

Do we process any sensitive personal information?

Some of the information may be considered "special" or "sensitive" in certain jurisdictions, for example your racial or ethnic origins, sexual orientation, and religious beliefs. We do not ask for or intentionally process sensitive personal information. However, content you connect or upload — such as email messages, files, or records from a connected service — is processed as you direct, and we do not inspect or filter it, so it may contain such information if you send it to us.

Do we collect any information from third parties?

Yes. When you connect a third-party service to Lytica AI — for example Google Workspace, a CRM, an advertising platform, or a data warehouse — we access the information from that service which you authorize, in order to provide the features you asked for. How do we process your information?

We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

How do we keep your information safe?

We have adequate organizational and technical processes and procedures in place to protect your personal information. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure.

03What Information Do We Collect?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You.

The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

  • contact or authentication data
  • content you submit to the Services, including prompts, questions, uploaded files, and the conversation history they produce

Information From Services You Connect.

Lytica AI works by connecting to systems you already use. When you authorize a connection, we access the data from that system needed to deliver the feature you requested — for example messages and attachments from a connected mailbox, files from a connected drive, events from a connected calendar, or records from a connected CRM, advertising platform, accounting system, or data warehouse. The permission screen shown when you connect describes the access granted for that integration, and you can revoke it at any time from your account settings. Google Workspace data is subject to the additional commitments in our Google Workspace section.

Sensitive Information.

We do not ask for or intentionally process sensitive information. Content you connect or upload is processed as you direct and is not inspected or filtered by us, so it may contain such information if you choose to send it.

Login Data.

You sign in through our identity provider, WorkOS, using your organization's single sign-on or your Google account. When you do, we receive basic profile information such as your name and email address. Signing in does not by itself grant us access to your mail, files, or calendar — those require the separate connection described above.

Cookies and Tracking Technologies.

Like many businesses, we also collect information through cookies and similar technologies. For detailed information about our use of cookies, please see our Cookie Notice, which is available on request from privacy@lyticalabs.ai.

04How Do We Process Your Information?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
  • To deliver and facilitate delivery of services. We may process your information to provide you with the requested service.
  • To respond to user inquiries / offer support. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
  • To send administrative information. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.
  • To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual's vital interest, such as to prevent harm.

06When And With Whom Do We Share Your Personal Information?

In Short: We may share information in specific situations described in this section and/or with the following categories of third parties.

Vendors, Consultants, and Other Third-Party Service Providers. We may share your data with third-party vendors, service providers, contractors, or agents ("third parties") who perform services for us or on our behalf and require access to such information to do that work. The categories we rely on are: cloud hosting and application infrastructure; database and storage providers; identity and authentication providers; AI model inference providers, reached through an AI gateway that routes each request; and product analytics. A current list of the specific providers in each category is available on request from privacy@lyticalabs.ai.

Content from connected services is shared only as needed to deliver the features you requested — principally with the model inference providers described in the AI section, under zero-retention and no-training terms. It is not shared with advertising networks or data brokers, and our product analytics receives usage events rather than the content of your prompts or answers.

We may need to share your personal information in the following situations:

  • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
  • Affiliates. We may share your information with our affiliates, in which case we will require those affiliates to honor this Privacy Notice.
  • Business Partners. We may share your information with our business partners to offer you certain products, services, or promotions.

07Do We Use Cookies And Other Tracking Technologies?

In Short: We may use cookies and other tracking technologies to collect and store your information.

We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.

We also permit third parties and service providers to use online tracking technologies on our marketing website for analytics and advertising, including to help manage and display advertisements and to tailor advertisements to your interests.

This never applies to the data you connect or submit. Tracking and advertising technologies operate on our marketing website only. We do not use the content of your connected services, your prompts, your uploads, or your outputs for advertising, to build advertising profiles, or to serve ads — and we do not sell or rent that content. For Google Workspace data this is an explicit commitment; see our Google Workspace section.

08Do We Offer Artificial Intelligence-Based Products?

In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.

As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools are designed to enhance your experience and provide you with innovative solutions. The terms in this Privacy Notice govern your use of the AI Products within our Services.

We do not use your organization's data, prompts, or outputs to train foundation models owned by us or any third party. We do not fine-tune models on your content.

Inference is performed by third-party model providers. Every request we send is marked both zero-retention and not-for-training, and our systems do not allow an individual request to opt out of those markings. We route model traffic through Vercel AI Gateway, which selects an inference provider able to serve the request under those terms; because that selection happens per request, we cannot name a single fixed provider. Where a provider's terms reserve the right to train on submitted content, we block that provider outright.

To answer a question, the relevant content — which may include material from a connected service, such as the email thread you are replying to — is sent to the model provider as part of that request. It is not retained by the provider under the terms above.

09How Do We Handle Google Workspace Data?

In Short: If you connect Google Workspace, we use that data only to provide the features you asked for, never for advertising, and never to train AI models.

Limited Use.

Lytica Inc.'s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

What we access, and why.

When you connect a Google service, we request only the permissions needed for the features you use, and the consent screen shown at connection lists them. Depending on what you connect, this may include reading messages and attachments from your mailbox, sending mail you have asked us to send, and reading files, documents, spreadsheets, presentations, or calendar entries. We access this data to answer your questions, draft the replies you request, and run the workflows you configure.

Writing-style matching.

If you use our assistant to draft email replies, we read a small sample of your recent sent mail so the drafts sound like you. To find that sample we scan up to 200 of your sent messages from the last 12 months; of those, we keep at most 12, each trimmed to 600 characters, with recipient email addresses replaced by display names. The messages we scan but do not keep are not stored. It is stored against your account, refreshed about once a day, retained no longer than 90 days, and deleted when you disconnect Google.

What we never do.

  • We do not use Google Workspace data to train, fine-tune, or improve generalized AI or machine-learning models — ours or anyone else's.
  • We do not use it for advertising, to build advertising profiles, or to serve ads.
  • We do not sell or rent it.
  • We do not transfer it to others except to provide the features you requested, to comply with applicable law, or as part of a merger or acquisition with notice to you.
  • Humans do not read it, except with your explicit permission for support, where necessary for security or to comply with law, or on data that has been aggregated and de-identified.

Disconnecting.

You can disconnect a Google service at any time from your Lytica Labs account settings. When you do, we revoke our access with Google, delete the stored credentials, and delete the writing-style sample described above. You can also review and revoke access directly from your Google account's security settings. Content already saved into your conversation history remains until you delete those conversations or ask us to delete your data — see how long we keep your information.

10How Do We Handle Your Social Logins?

In Short: If you choose to register or log in to our Services using a social media account, we may have access to certain information about you.

Our Services offer you the ability to register and log in using your organization's single sign-on or your Google account, through our identity provider WorkOS. Where you choose to do this, we receive basic profile information from that provider — typically your name, email address, and profile picture.

Signing in is separate from connecting a service. Logging in with Google does not give us access to your Gmail, Drive, or Calendar; that access is granted only if you separately connect those services and approve the permissions shown at that time, and you can revoke it from your account settings or from your Google account's security settings.

11How Long Do We Keep Your Information?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us to keep your personal information for longer than the period of time in which users have an account with us.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

Specific periods.

  • Writing-style samples taken from your sent mail are kept for at most 90 days, are refreshed about once a day, and are deleted when you disconnect Google or delete your account.
  • Connection credentials are held only while the connection is active and are deleted when you disconnect.
  • Conversations — your prompts, our answers, and any content drawn in to produce them — are kept until you delete the conversation or your account, so that your history remains available to you.
  • Short-lived caches used to keep the product responsive expire within minutes and are cleared on a recurring schedule.

12How Do We Keep Your Information Safe?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.

13Do We Collect Information From Minors?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 14Controls For Do-Not-Track Features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.

15Do United States Residents Have Specific Privacy Rights?

In Short: If you are a resident of certain US states, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information. These rights may be limited in some circumstances by applicable law.

16Do We Make Updates To This Notice?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws. We may update this Privacy Notice from time to time. If we make material changes to this Privacy Notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification.
